Return & Refund Policy

At the Hutterite Farm Exchange, we are committed to facilitating a marketplace built on trust and quality. Our Producers take great pride in the goods they offer. This policy outlines the process for returns and refunds.

1. General Policy: All Sales Are Final

Due to the nature of the products sold on our platform. All sales are considered final once the item has been picked up or delivered to and confirmed by the Buyer.

We encourage all Buyers to inspect their items at the time of pickup to ensure satisfaction.

2. Exception: Product Deficiency

While all sales are final, we understand that issues can arise. An exception to our no-refund policy will be made only in cases where a product has a clear and verifiable deficiency.

A “deficiency” is defined as:

  • The item is spoiled, contaminated, or otherwise unsafe for consumption upon pickup.
  • The item received is fundamentally different from the item described in the product listing (e.g., you ordered potatoes and received carrots).
  • The weight or quantity of the item is significantly less than what was advertised.

A deficiency does not include matters of personal taste or preference (e.g., “I did not like the flavour”).

3. How to Report a Deficiency

If you believe your item qualifies as deficient, you must report the issue to us within 24 hours of your confirmed pickup time. Reports submitted after this 24-hour window will not be eligible for review.

To report a deficiency, please use our “Contact Us” page and provide the following information:

  1. Your full name and email address associated with your account.
  2. Your Order Number.
  3. A clear description of the deficiency.
  4. Clear photographs of the item showing the deficiency. This is required for all claims.

4. Resolution Process

Once we receive your report, we will review the information and facilitate communication between you and the Producer of the item.

  • The Hutterite Farm Exchange acts as a facilitator but does not issue refunds directly.
  • The Producer will review the claim and evidence provided.
  • The final decision regarding a resolution rests solely with the Producer.

If the Producer determines the claim is valid, they may offer a resolution at their discretion, which could include:

  • A replacement of the item on your next order.
  • A credit towards a future purchase from their colony.
  • A partial or full refund.

Our team will communicate the Producer’s decision to you and help coordinate the resolution.
